# Smart Text

## Save time by cataloging commonly used phrases

### What is Smart text?

Smart text is a catalog of reusable phrases that can easily be chosen by users when filling out text boxes in Rounds. They help users save time and increase accuracy. 

They can be used in two different places:

1. **Smart Text Metrics**: Any Text box configured as a smart text input will have this icon

   Clicking this icon will allow a user to chose from any saved phrases. Users can save personal phrases as well as draw from phrases that have been configured for organization-wide use (managed by admins; see below).
2. **Comments:** When entering a comment on a metric users will see the same ability to choose from personal or organization-wide phrases.

#### Users can choose between using organizational phrases (managed by admins and available to everyone) and personal phrases, which they can manage themselves and are only available to their user.

Saving and Editing Personal Phrases:  
Users can save personal phrases by doing the following:

1. Type a phrase in a box enabled for smart text
2. Highlight the phrase
3. Click/Tap on the smart text icon
4. Click/Tap on "Save selection as a phrase"

Users can edit existing phrases by clicking  the three dots next to the search bar and clicking "Manage"

Which will bring users to their personal phrases list:

Users can search, add new, and edit existing phrases here (click the three dots).

### Setting up Smart Text Metrics (Supervisors and Admins):

If you want to provide users the ability to use saved phrases in a simply create a new smart text metric.

Existing Text metrics can also be changed to Smart Text by changing the metric type.

### Managing Organizational Phrases (Admins Only):

Organizational phrase are phrases that are managed at the organization level and can be used by all users in that organization. **Only Admins can manage organizational phrases.** 

To manage organizational phrases, navigate to org settings and scroll down to Organizational Phrases.
